Stock Take FAQ

Common Stock Take Errors

• “One or more updates provided an incomplete set of locations when updating the following items" or “Mission Location IDs”

  • When you see these errors, it usually means you are missing rows for the items you’re trying to adjust. You have to include all non-zero inventory locations on the stock take.

    For example, if Item 123 has

    • 10 units in location A
    • 5 units in location B

    and you only include the row for location A on your stock take, you’ll see an error about a missing location ID or an incomplete set of locations. Again, if it’s a non zero quantity in that location it has to be on the stock take. If it’s a location with zero quantity, you can remove it.

  • Another common cause of this error is that you changed the name of a lot or location on the stock take. See the above FAQ about transferring inventory with the stock take.

  • How to troubleshoot: Redownload your stock take export. Locate the item with the error, and locate the missing location. Add that row back into your active stock take spreadsheet, and re upload it.

• “Invalid Quantity Value”

  • This most likely means you are trying to upload a negative quantity, which is disallowed on the stock take. If you had negative inventory in Fulcrum when you downloaded the stock take export, and didn’t update it, that item will throw an error when you re upload the stock take.
  • How to troubleshoot: Scan your quantity column for negative quantities and replace them with zero before uploading your stock take again.

Inventory Adjustments

Adjustments to inventory can be made any time to an item from either of the two places:

• Item Page
• Items Grid

Inventory batches will be separated by Lot # and Location. If you do not see the “Lot #” field, make sure the item has “Lot Tracked” toggled ON.

Ways of Making Adjustments:

• + Add Inventory – Add a new batch of inventory with a defined material value.
• Stock Adjustment – Adjust the quantity of an existing batch (e.g., reducing 10 pieces by -3 leaves 7 on hand).
• Transfer – Move an existing batch of inventory from one lot # or location to another.
• Override – Directly overwrite the quantity of an existing batch (used sparingly).
• Scrap (Negative Adjustment) – Reduce inventory for unusable material. Usually entered from job tracking, but available here if needed.
• Return (Positive Adjustment) – Add material back into inventory (e.g., unused stock returned to shelf).
• Waste (Negative Adjustment) – Reduce inventory for material loss not tied to scrap.
• Other – Use when none of the above reasons apply.

Notes - With each adjustment made, a note can be included for context as to why the adjustment was needed.

To make the adjustment, choose the adjustment type, enter the details of the adjustment and select Save.
